Description
A highly organised Project Administrator required for the Defence industry. Your new companyHays are proud to be partnering with a leading Australian-owned defence technology organisation based in the northern suburbs that specialises in the design, integration, and support of advanced electronic, software-intensive, and deployable systems. With more than 25 years of experience, this highly respected engineering firm delivers sophisticated surveillance, command-and-control, radar, and electronic warfare solutions across air, land, sea, and homeland security domains. Renowned for its sovereign capability, technical innovation, and strong partnerships with defence agencies and major primes, the organisation continues to play a pivotal role in strengthening Australia's defence readiness and supporting global allied operations.
Your new role
In your new role as a Project Administrator, you will support Program and Project Managers across multiple defence programs. Your key responsibilities will include, but not be limited to:
- Maintaining project schedules, budgets, tracking tools, risk registers, and action item registers.
- Assisting in the preparation of tender responses.
- Producing project documentation including CDRL items, reports, plans, templates, letters and proposals.
- Raising catering and travel requests as directed by the Project Manager.
- Preparing and distributing meeting agendas and minutes.
- Maintaining project information across systems such as SharePoint, WTS, MEX, Jira and Panorama.
- Undertaking procurement activities including sourcing quotes, raising purchase orders and receipting goods.
- Assisting finance tasks including coding and preparing credit card statements for reconciliation.
- Coordinating supplier risk activities including profiling and evaluations.
- Identifying administrative issues within project workflows and improving processes.
- Liaising with customers, suppliers and subcontractors as directed.
- Supporting project establishment and close-out in accordance with company checklists.
- Supporting staff inductions and completing required documentation.
- Completing document control tasks including style reviews, archiving, tracking and delivery of documentation to customers.
- Minimum five years' experience in project administration, or three years with vocational qualifications.
- At least two years supporting engineering/technical project teams.
- Strong administrative skills with an understanding of project lifecycles and project documentation.
- Ability to work to strict deadlines while managing competing priorities.
- Proficiency across MS Word, Excel, PowerPoint, MS Project and SharePoint.
- Strong written and verbal communication skills, including letter and report writing.
- Effective problem-solving abilities.
- High attention to detail and strong organisational capability.
- Ability to coordinate multiple tasks and maintain accuracy across documentation and data.
- Flexibility to liaise with customers, suppliers and internal stakeholders as required.
