The Payroll Manager oversees accurate, timely, and compliant payroll processing for a multi-state, mid-sized organization. This role manages end-to-end payroll operations, ensures compliance with federal, state, and local regulations, and serves as a subject matter expert for payroll systems, reporting, and audits. The position leads payroll staff and partners closely with HR, Finance, and external vendors to maintain payroll accuracy and regulatory compliance. This is a full-time, hybrid position located in our Boston, MA or Burlington, MA office.
DUTIES/RESPONSIBILITIES
In this position, you will:
Payroll Operations
- Manage full-cycle biweekly payroll, including review, audit, approval, and submission.
- Ensure payroll accuracy and timeliness in accordance with company policies and applicable regulations.
- Review and approve time sheets, pay adjustments, deductions, earnings codes, and leave balances.
- Reconcile payroll control totals and resolve discrepancies across payroll cycles.
- Process and reconcile off-cycle and manual payroll checks as needed.
Compliance and Reporting
- Ensure compliance with wage and hour laws, including overtime, classification, minimum wage, and pay timing requirements.
- Reconcile payroll wages, withholdings, and employer taxes for periodic reporting.
- Coordinate quarterly and annual tax filings, including W-2 preparation and distribution.
- Partner with Finance and third-party vendors on payroll tax reconciliations, fringe benefit reporting, and audit requests.
Systems and Process Management
- Serve as the primary administrator for the UKG payroll system.
- Support system enhancements, configuration changes, and process improvements.
- Investigate and resolve payroll inquiries and variances in a timely manner.
Leadership and Collaboration
- Supervise, train, and cross-train payroll staff to ensure adequate coverage and consistent execution.
- Develop and maintain payroll standard operating procedures and internal controls.
- Collaborate with HR, Accounting, and Operations on payroll impacts related to employee lifecycle events.
SKILLS/EXPERIENCE
Minimum Skills and Requirements:
- Minimum of five years of experience in full-cycle, multi-state payroll processing, including tax and compliance requirements.
- Experience with UKG strongly preferred.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
- Associate degree in Accounting, Finance, or a related field preferred; equivalent experience considered.
The salary range for this position in Boston, MA and Burlington, MA is $100,000 - $140,000 annually. Actual compensation will be based upon a variety of factors such as education, related work experience, certificates, skills, and current market conditions. Haley & Aldrich reviews salary ranges each quarter to assess competitiveness with the market.
