Description
The CompanyOur client is a HK-based fund house that has been performing extremely well and is growing its business. They are looking to hire a driven and responsible professional to join the team to support the team on maintaining and updating client data records, analysing investor flows and fund performance, creating charts and data-driven materials, and more.
The Role
- Project management (office relocation & renovation): Act as the main lead for the company's potential relocation project-managing planning, budgeting, vendor sourcing, quality control, and execution. Conduct feasibility studies, space planning, and risk assessments, and ensure all moving logistics are executed with minimal disruption to business operations.
- Office & facilities maintenance: Oversee all facility-related issues, handle emergency situations promptly, and coordinate repairs or maintenance works. Conduct routine safety checks, inspections, and audits to ensure compliance with regulations and internal standards.
- Regulatory compliance & documentation: Maintain all required permits, licenses, and compliance records. Ensure health, safety, and environmental requirements (HSE) meet local regulatory standards.
- Stakeholder & landlord coordination: Serve as the primary contact for landlords, building management, and service providers, ensuring effective communication and smooth daily operations.
- Budget planning & cost control: Assist in preparing and monitoring the annual office and facilities budget, ensuring cost effectiveness and efficient resource allocation.
- Vendor & contractor management: Source, evaluate, and manage all vendors, contractors, consultants, and service providers to ensure high-quality delivery and compliance with project timelines and cost expectations.
- General administration support: Handle day-to-day office administration including supplies management, asset tracking, office service contracts, and coordination of workplace services.
- HQ liaison & reporting: Act as a key bridge with Mainland China headquarters-aligning operational standards, providing regular reports, and seeking necessary approvals for projects and initiatives.
- Process improvement & policy implementation: Review, implement, and enhance office policies and operational procedures to improve efficiency, workflow, and overall workplace experience.
Your Profile
- Degree holder or above
- 8-10 years of relevant experience in office relocation and renovation, and facility management.
- Proficiency in written and spoken Chinese and English
- Excellent verbal and written communication and interpersonal skills, with the ability to liaise effectively at all levels.
- Strong problem-solving, organizational, and multitasking abilities.
- Proactive, hands-on, and detail-oriented approach to managing projects, facilities, and daily operations.
